How subscription statuses are decided
Subscriptions have three saved statuses: Active, Paused and Alternative. Labels such as Expiring soon, Expired, Free trial and Promotion are calculated from dates whenever the app opens and need no manual changes.
- Free trial, Promotion: the subscription has a trial or promotional period and today is before its end date.
- Free trial ending soon, Promotion ending soon: shown 30 days ahead.
- Expiring soon: for subscriptions without auto-renew, shown 30 days ahead.
- Expired: auto-renew is off and the next renewal date has passed.
- Subscriptions with auto-renew on always show as active, never as expiring soon or expired.
- Paused and Alternative: displayed according to the saved status, regardless of dates.
- The “Active” tab at the top and the active subscription count include expired, expiring soon and in-trial subscriptions.
- 30 days is a fixed window. Reminders appear only inside the app; no system notifications are sent.
How payment history is recorded automatically
Active subscriptions are recorded automatically from “Start date + billing cycle”: one payment is added on the first day of each period, using the price at the time it is recorded.
- Creating a subscription fills in past periods. After that, opening the app adds periods that began while it was closed.
- Payment date is for recordkeeping and display only. It does not affect automatic recording.
- Nothing is recorded during a free trial. The first regular payment is recorded on the next renewal date after the trial ends. During a promotion, each period is recorded at the promotional price, and at the regular price afterwards.
- Subscriptions without auto-renew are recorded only up to the next renewal date. After expiry, recording stops until a renewal is recorded or auto-renew is enabled.
- Pausing or resuming adds no past or same-day payment. Existing payments stay. Auto-renew can be selected when resuming; paid coverage is not recorded again. Scheduled pauses and resumes remain available. Editable record dates are separate from scheduled action dates.
- Month-end dates follow the real calendar. For example, a subscription started on January 31 continues on February 28 (29 in a leap year), March 31 and April 30.
- Cycle changes apply to future periods. Existing payment amounts, currencies and periods stay unchanged. The next billing point skips paid coverage; gaps are not backfilled.
- Adjusted historical amounts and payments added later are included in payment history and in the subscription’s total.
- Automatic accounting skips a cycle start covered by an existing complete payment period and continues on the selected calendar. Incomplete period dates do not establish paid coverage.
Effects of subscription edits on history
Historical payments keep their original amounts and currencies. Changing a subscription currency converts the current draft price and promotional price for confirmation and affects future settings only; cancellation saves nothing. If full conversion is unavailable, amounts are shown separately in their original currencies; payments with unknown currency keep their original amounts.
- Changing the price: only periods not yet recorded use the new price. Recorded history stays the same.
- Cycle changes apply to future periods. Existing payment amounts, currencies and periods stay unchanged. The next billing point skips paid coverage; gaps are not backfilled.
- Changing the start date updates subscription settings only. Existing payment periods stay unchanged, and the due date changes only when explicitly edited.
- If a period's actual payment amount differs, Adjust payments in payment history can update that period's amount.
Auto-renew
When auto-renew is enabled and the next renewal date arrives, opening the app advances that date by one period and writes an activity entry. Auto-renew updates records only; it does not make payments.
- Subscriptions with auto-renew on never show as expiring soon or expired, and payment history keeps adding periods.
- Auto-renew does not happen while a trial or promotion has not ended.
- Cycle changes apply to future periods. Existing payment amounts, currencies and periods stay unchanged. The next billing point skips paid coverage; gaps are not backfilled.
- The original day is kept when moving forward. In a shorter month it uses the last day of that month, and the next month goes back to the original day.
Pausing and resuming
While paused, nothing is recorded, the subscription is left out of the average monthly spend, and it does not show as expiring soon.
- A pause starting today or earlier takes effect immediately. A future date schedules a pause that takes effect when the app opens on that day. A scheduled pause can be edited or deleted.
- Only subscriptions that are active and not expired can be paused.
- Pausing or resuming adds no past or same-day payment. Existing payments stay. Auto-renew can be selected when resuming; paid coverage is not recorded again. Scheduled pauses and resumes remain available. Editable record dates are separate from scheduled action dates.
- Renew on an active subscription records an actual payment and sets the next due date. Paused or Alternative subscriptions first show restore confirmation; restoration itself adds no payment. Actual additional payments can be recorded with Renew or Add payment.
Renew, Adjust payments and Add payment
These three actions support manual changes to payment history.
- Renew on an active subscription records an actual payment and sets the next due date. Paused or Alternative subscriptions first show restore confirmation; restoration itself adds no payment. Actual additional payments can be recorded with Renew or Add payment.
- Adjust payments changes amounts on existing payment records and supports applying an amount to several selected records. The app also writes a separate note, which is not counted as spending. Individually edited amounts are saved without selecting their checkboxes; checkboxes are used for batch adjustments. Successful adjustments return to the previous page.
- Add payment preserves manually entered values. Period dates are optional and may include only a start or end date. Records are not automatically filled, merged or deleted. Any nonempty amount, including zero, represents a payment; audit-only entries are not spending. Incomplete periods do not establish paid coverage.
- Adjusted and added amounts are included in payment history, in the total amount and in the spending figures.
After a service subscription is cancelled
The app cannot detect subscription cancellation with a provider. The record can be moved to alternatives, deleted or kept, depending on the circumstances.
- Move to alternatives keeps the record and all its history, stops automatic recording, excludes it from spending subtotals and sends no reminders. This suits services that may be subscribed to again. Alternative subscriptions still count toward the free plan's record limit.
- Delete: permanently deletes the subscription, its payments and activity history, and frees one record slot on the free plan.
- Do nothing: a subscription without auto-renew shows as expired after its due date and stops adding payments.
- Pausing or resuming adds no past or same-day payment. Existing payments stay. Auto-renew can be selected when resuming; paid coverage is not recorded again. Scheduled pauses and resumes remain available. Editable record dates are separate from scheduled action dates.
How the spending figures are calculated
These figures are records and estimates. Actual spending is determined by the bills.
- Current month spend uses the payment record date: the period start for automatic payments and manual payments with a start date, the actual save date for manual payments without one, and the action date for renewals. Audit-only entries are excluded; unknown original currencies are listed separately.
- Average monthly spend: the sum of “Monthly equivalent” for all active subscriptions. Weekly = price × 52 ÷ 12; quarterly = price ÷ 3; yearly = price ÷ 12; custom days = price × 30 ÷ days. Paused and Alternative subscriptions are not included.
- Annual spend is average monthly spend multiplied by 12. It estimates spending from current subscriptions and does not represent actual payments made so far this year.
- Subscriptions in a trial or promotion are estimated at the regular price.
- Payment totals use current exchange rates only when all payments can be converted. If full conversion is unavailable, amounts are shown separately in their original currencies; payments with unknown currency keep their original amounts.
Currencies and exchange rates
Rates are stored as the value of 1 unit of a currency in the base currency. Rates do not update automatically; they change only after an online update or a manual save.
- New accounts use USD as the base currency, with CNY, USD and EUR preset. Preset rates are samples only. An online rate update or manual entry of current rates is needed before recording begins. The app displays a reminder when sample rates are saved or these currencies are selected.
- A newly added currency needs an exchange rate. Until a rate is set, the currency is marked Rate not set yet.
- Changing the base currency recalculates rates from existing values without going online.
- The currency list and rates are saved per local account and are not sent to other devices by sync.
- A subscription whose currency has not been added on this device is excluded from converted totals. Adding the currency and setting its rate allows the subscription to be included.
- Historical payments keep their original amounts and currencies. Changing a subscription currency converts the current draft price and promotional price for confirmation and affects future settings only; cancellation saves nothing. If full conversion is unavailable, amounts are shown separately in their original currencies; payments with unknown currency keep their original amounts.
- Summary currency is selected from the currency dropdown on the summary page. It is used for current month spend, average monthly spend and annual spend. Changing it only changes the summary display, not subscription prices or original payment currencies. Historical payments that cannot be fully converted retain their original amounts and currencies.
Views and background
Classic view, Portfolio view and custom backgrounds are local presentation settings. They do not change accounts, subscriptions or payment records.
- The Portfolio button in the header switches between classic and Portfolio views. Both views also have direct controls on this page.
- Classic view uses solid surfaces; Portfolio view uses translucent surfaces and backgrounds. The header theme button switches between light and dark.
- The app icon in the header or Background image on this page opens the light and dark background settings. Custom images are saved only on this device for Portfolio view. Removing an image restores the default background.
Free plan limit and Pro
The free plan lets each local account save 10 subscription records.
- Active, paused, alternative and expired subscriptions all count toward the limit. Deleting unneeded records frees space.
- Once Pro is enabled on a device, all local accounts on that device have no record limit.
- Over the limit, existing records remain available to view, edit, export, back up and delete.
- Sync is available on both the free plan and Pro, but sync cannot take a free account over 10 records.
- Pro is linked to the purchase account and supports up to 5 active devices. Unbinding a device does not delete its records.
Syncing between two devices
Sync must be started manually. Each device must run sync and complete confirmation. Background sync is not performed.
- The second device must first import the same account from an encrypted migration package exported on the first device. Both devices then use the same sync folder and passphrase. An account created separately cannot use this sync folder, even with the same username and password.
- Sync includes selected subscriptions and their encrypted fields, such as account passwords, along with payment and activity history and deletions.
- What does not sync: the currency list and rates, the payment method and category lists, appearance, interface language, backups and Pro status.
- Price, currency, cycle and auto-renew settings form one group. The later manual save wins, including any older price it carries. Other fields merge separately; equal times or missing sources require a choice. Existing payments are kept unless their subscription is explicitly deleted.
- The sync passphrase is separate from the account password and cannot be changed after setup. If the passphrase is forgotten and is not remembered on this device, the old folder cannot be read. A new sync folder and passphrase can be set up.
- Deleted subscriptions are removed from other devices after sync. Older encrypted files in the sync folder retain earlier contents. The whole folder may be deleted once all devices have finished syncing and the folder is no longer used.
- The saved account name and password require review. A complete pair from either device can be selected, or both fields can be entered again. Values are never mixed automatically. In a replacement, a blank field clears that field.
- Sync files are incomplete. Sync can be retried after the cloud drive finishes transferring the missing checkpoint or parent packets. Existing files and the pending confirmation must be kept.
- Before the sync format changes or its passphrase is reset, all participating devices must finish syncing in the original folder with the old version. The original folder must be kept. After device updates, initialization uses a new empty folder. Formats must not be rewritten or mixed in place. Older clients cannot write the new format.
Deleting, backups and uninstalling
Data is stored on this device. Backups, migration packages, exported files and sync folders require separate management.
- Deleting a subscription only deletes that record on this device. Existing backups, migration packages, exported files and old files in the sync folder are not affected, and other devices delete it only after they sync.
- Backups are not created or cleaned up automatically on a schedule. In addition to manually created backups, the app creates safeguards only before backup restoration, account password changes and account upgrades.
- Deleting a local account permanently deletes that account's subscriptions, payment records and all backups on this device. Files saved elsewhere are not deleted.
- Uninstalling from system settings on Android 10 or later asks whether app data should be kept. Android 9 or earlier deletes data with the app. Windows follows the rules of the installed version. Deleting the local account before uninstalling ensures its removal; retaining data requires saving a migration package or backup elsewhere first.
Export
Exported files are unencrypted and require secure storage.
- TXT, Excel, PDF: only the subscriptions shown in the current list are exported (affected by search, filters and the status tab).
- JSON, CSV: all subscriptions of this account are exported.
- No export includes account passwords or individual payment records; each subscription only has its total paid in history and its number of payments.
- Exported files cannot be imported back into the app. A full move or restore requires an encrypted migration package or backup.
Account password and lock
The account password encrypts subscription data. It cannot be recovered, and the developer cannot reset it.
- If the account password is forgotten, restoration is limited to a backup or migration package made while the password was still known.
- The account password, the sync passphrase and the purchase account are three different things: the account password unlocks the data on this device, the sync passphrase encrypts the sync files, and the purchase account is used to restore Pro.
- Locking or closing the app requires password entry again.
- On Android, switching to the background does not lock the app automatically. Opening the app after the system closes it requires password entry again.
Which account does what?
Local accounts store subscription records. The purchase identity links Pro and devices. The store account handles payment: Microsoft Store on Windows and Google Play on Android. Restoring a purchase requires the original purchase identity and the store account used for payment. The purchase identity is securely remembered on this device and can be verified automatically after a restart. Signing out removes its local sign-in credentials.
Offline use and sync
Local records and sync remain available offline; sync does not check purchases online. After Pro activation, the app periodically refreshes purchase status online. If verification is unavailable, verified local rights and records are kept.
Relinking a store purchase
Restoring access to store purchase checks requires a device on the original purchase platform: Windows for Microsoft Store or Android for Google Play. The device must be signed in with the original purchase identity and the store account used to buy Pro. Restore purchase renews access to store purchase checks without another payment.
Five devices and replacing a device
Each purchase identity can authorize up to five active devices. At the limit, an old device can be unlinked in Manage devices before a new one is activated. Unlinking does not delete local records on that device; licensed features require verification again. Device verification saves the system device name with the authorization service to help identify devices. Older unnamed devices are updated on their next verification.
How are sync files saved?
When sync is started manually, Colly Portfolio writes encrypted sync files to the selected folder. Filenames include the device name. The cloud storage client transfers files according to its settings. A folder still in use must retain its complete history; individual historical files must not be deleted. Once the entire folder is no longer used, it may be kept or deleted. All devices waiting to sync must finish before deletion.
Paid, but Pro is not active yet
Restoring a purchase requires confirmation of the purchase identity and the store account used to buy Pro, followed by Restore purchase. Pending payment or failed verification can be checked again later without another payment.
Deleting versus signing out
Signing out or unlinking a device does not delete local records. Deleting a local account does not delete the cloud purchase identity. Deleting the purchase identity deactivates device authorizations and removes encrypted Store query credentials. Minimal authorization records needed to prevent duplicate claims and reversal of revocations are retained.
